Integration with MYOB, Daelibs™ and more

MYOB

SMS interfaces with MYOB to support invoicing and other financial record keeping.

Other accounts/payroll systems

SMS can interface with a wide range of accounting and payroll programs. Please contact us to find out if SMS will interface with your system.

Existing care management systems

We can transfer records from most existing care management systems to SMS.

Some programs do try to lock you in by restricting your ability to export your own key data. SMS does not (see Data Export).

Daelibs™

SMS has full integration with Daelibs™ä Electronic Loggers for electronic proof of service delivery and accurate times. Click for more details.

Microsoft Office

SMS can interface with Microsoft Office (Word and Excel) from Office 97 on, but you will need  Office 2000 or later to access all features.

Document scanners

A scanning module will be available shortly.  This will require a compatible scanner with a complete Twain interface.

SMTP mail servers

All SMS reports can be sent by email using a standard SMTP compliant mail server.

Integration with Daelibs™

SMS has full integration with Daelibs™ Electronic Loggers for electronic proof of service delivery and accurate times.

Loggers are a portable electronic unit that uses simple ID buttons to record the exact time and date when a worker arrives and leaves a client’s home. The system can also record travel times.

On return to base the Logger information is easily uploaded into SMS and either matched with a pre-existing roster or used to automatically create service provision records.

Loggers are an established technology that Alchemy Technology has extended with full integration to SMS.

How Do Loggers Work?

The Logger concept is simple. Clients are given a small metallic button with a unique internal identifier. The button is placed somewhere easily accessible within the house (eg the kitchen) or outside for gardening and home maintenance services.

Each worker is issued with a Logger, which can read client buttons. Loggers also have a unique internal number, which identifies their user.

When the Logger is held against the button, it makes an audible beep and a light flashes. The exact time and date and the button ID are recorded within the Logger.

Using a Logger

The worker reads the client’s button when they arrive and again when they leave.

If travel times are required a button in the vehicle can be read every time the worker enters and exits the vehicle.

Buttons can be placed on tags or boards and carried by the Worker to enable additional information to be recorded.

What are the Benefits?

Logger benefits:

  • Costs savings through improved efficiency
  • Providing an authenticated, electronic proof of service delivery to clients
  • Accurate times that workers spend with clients
  • Accurate travel times if Id buttons are stored in vehicle
  • Automatically create service entries, including service type, even if no roster exists
  • Automatically reconcile worker times with their pre-defined roster
  • Management has access to accurate, real-time information
  • Proof of Worker location in the event of a Workers’ Compensation claim
  • Proof of service delivery for auditors

Computer Requirements

SMS runs on:

  1. all standard Windows computers from Windows 95 on
  2. Microsoft Terminal Server
  3. Citrix Metaframe
  4. Novell Netware

We recommend Windows 2000 and XP (which have a higher level of support provided by Microsoft), with at least 1 Gb of free disk space for software, data and multiple backup versions of data (created during upgrades).

Installation is straight forward. SMS software is copied into a client application directory, a security function is loaded (for Win NT, 2000 and XP) and a Site Key issued.

Software is configured to access data either locally or via a mapped drive share.  Most sites create a SMS user group to manage access.

SMS software is self contained so it will not interfere with other installed software and settings. SMS does not write to the registry.

It requires no additional run-time licences.

SMS can interface with Microsoft Office (Word and Excel) from Office 97 on, but you will need  Office 2000 or later to access all features.

A scanning module will be available shortly.  This will require a compatible scanner with a complete Twain interface.

SMS supports SMTP compliant mail servers and all reports can be sent by email

Mobile SMS

Laptops

Why double enter client assessments onto forms and then into your computer?

An assessment-only version of SMS is available for laptops. It gives access to client details (eg, HACC MDS, NRCP MDS), case notes and care plan function.

You can enter new information and make changes in the client’s home. When you return to your office, upload the data to your main computer.

Mobile phones/PDAs (available soon)

With SMS you can transfer roster and client information back and forth between staff in the field and your office, using suitable mobile phones or personal digital assistants.

Any changes made either at the office or by staff in the field automatically updates both the office computer and the mobile device.

Everyone is always up to date, avoiding confusion, wasted time and missed appointments.

A successful pilot has been running since early 2009.

Daelibs™

SMS has full integration with Daelibs™ Electronic Loggers for electronic proof of service delivery and accurate times. Click for more details.
